Privacy Policy

We built this tool to help people access government records — not to collect your data. Here's exactly what happens when you use this site.

The short version

We do not store your name, address, or contact information
We do not store the content of your FOIA request letter
We do not sell or share your data with third parties
We do not require an account to use this site
Generated letters are downloaded directly to your device
Contact form submissions are emailed to us and not stored
Session data is used only for rate limiting and expires automatically
Analytics will be added in the future — this policy will be updated first

What We Collect

FederalFOIA.com is designed to collect as little information as possible. We do not require you to create an account, log in, or identify yourself in any way to use this site. The information you enter into the request builder is used only to generate your letter and is not retained on our servers.

The only data we collect is standard server log data automatically generated by your web hosting provider, which may include your IP address, browser type, pages visited, and timestamps. This information is not linked to any personal identification and is used solely for server maintenance and security purposes.

Request Builder Data

When you use the FOIA Request Builder, you provide personal information such as your name, mailing address, phone number, and email address, as well as a description of the records you are requesting. This information is:

  • Transmitted securely to our server to generate your letter
  • Passed to the AI drafting service to compose the letter text
  • Returned to your browser as a downloadable PDF
  • Not stored on our servers in any form

Once your letter is generated and downloaded, no record of it exists on our systems. We do not log, retain, or have access to the content of any request letter generated through this tool.

Note on AI processing: Letter text is generated using the Anthropic Claude API. Input data is transmitted to Anthropic's servers for processing. Anthropic's privacy policy governs their handling of that data. We do not send any more information than is necessary to generate your letter.

Cookies & Sessions

We use a single session cookie to support the rate limiting function on the request builder. This prevents automated abuse of the tool. The session cookie:

  • Does not contain any personal information
  • Is used only to count how many requests have been submitted from your browser session
  • Expires automatically when you close your browser or after a set period of inactivity
  • Is not used for tracking, advertising, or analytics purposes

We do not use advertising cookies, tracking pixels, or any third-party cookies at this time.

Analytics

We do not currently use any analytics service on this site. We plan to add Google Analytics or a similar service in the future to help us understand how visitors use the site and where we can improve it. Before any analytics service is added, this privacy policy will be updated to reflect what data is collected and how it is used, and appropriate cookie consent mechanisms will be implemented.

Contact Form

When you submit the contact form, your message and any contact information you provide is transmitted directly to us via email. Contact form submissions are not stored in a database and no copy is retained on our servers beyond what your email provider retains in our inbox. We use your contact information only to respond to your inquiry and do not add contact form submissions to any mailing list without your explicit consent.

Email Updates

We may add an optional email newsletter in the future to notify subscribers of new features and resources on the site. If and when this is added:

  • Signup will always be optional and clearly labeled
  • We will only collect your email address — nothing else
  • Every email will include a one-click unsubscribe link
  • We will not share your email address with any third party
  • This policy will be updated to identify the email service provider used

Third Parties

We do not sell, rent, or share your personal information with third parties for their marketing or commercial purposes. The only third-party service currently involved in site operation is:

Anthropic (Claude API)

Letter generation is powered by the Anthropic Claude API. When you generate a request letter, the information you entered is transmitted to Anthropic's API for processing. This transmission is governed by Anthropic's privacy policy, available at anthropic.com/privacy. We transmit only the information necessary to generate your letter and do not transmit any information that is not required for that purpose.

Web Hosting

This site is hosted on a commercial web hosting platform. Standard server log data may be retained by our hosting provider in accordance with their own privacy policy.

Your Rights

Because we do not store personal information, there is generally no personal data about you held by FederalFOIA.com to access, correct, or delete. If you have submitted a contact form message and wish to have that correspondence removed, you may contact us and we will delete it from our records.

If you are located in California, the European Union, or another jurisdiction with specific privacy rights, please contact us and we will respond to any applicable requests to the extent data exists and those rights apply.

Policy Changes

We will update this policy when our data practices change — including before adding analytics, an email list, or any new third-party service. The "Last Updated" date at the top of this page reflects when the policy was last revised. Continued use of the site after a policy update constitutes acceptance of the revised terms.
